Terms and Conditions

Last updated: 14 October 2026

These Terms and Conditions govern access to and use of the Do My Checkup website, appointment-booking services, healthcare-provider directory, and related healthcare management software, including EMR/HMS tools where offered.

Please read these Terms before using the services. Different terms or agreements may also apply to doctors, clinics, hospitals, software customers, and specific services.

1. About Do My Checkup

"Do My Checkup", "DMC", "we", "us" or "our" refers to the business operating this platform. Before publication, the legal name and registered address of the operating entity must be inserted in the Contact section below.

The platform may enable users to discover healthcare providers, request or book appointments, receive appointment updates, and access other features. We may also provide software to healthcare providers for appointment management, patient registration, electronic medical records, billing, reporting, and clinic or hospital administration.

2. Scope and Acceptance

These Terms apply to visitors, patients, their authorised representatives, healthcare professionals, clinics, hospitals, and other users, as applicable to the services they use. By accessing or using a service, you agree to the applicable Terms. If you do not agree, do not use that service.

If you enter into a separate subscription, provider, enterprise, data-processing, or other written agreement with us, that agreement will govern the matters it specifically addresses where it conflicts with these Terms.

3. Eligibility and Authorised Use

You must have legal capacity to enter into the applicable agreement. If you are below the age at which you may legally consent to the service in your country, a parent or lawful guardian must act where required by law.

You may use another person's account or information only when properly authorised. Healthcare organisations must ensure that their staff and representatives have appropriate authority to access the relevant systems and records.

4. Accounts and Account Security

  • Provide accurate, current and complete registration information.
  • Keep login credentials and authentication codes confidential.
  • Notify us promptly of suspected unauthorised access.
  • Do not share accounts in a way that bypasses access controls.
  • Keep user permissions and staff access appropriate to each person's role.

You are responsible for activity conducted through your account to the extent permitted by applicable law. We may restrict or suspend access where reasonably necessary for security, legal compliance, investigation of misuse, or protection of users and services.

5. Appointments and Booking Services

Appointment availability, fees, schedules and provider information may change. A booking request is not necessarily a confirmed appointment until confirmation is issued through the platform or the relevant provider.

  • Patients must provide accurate contact and booking information.
  • Appointment times may be affected by emergencies, clinical priorities, delays or technical problems.
  • Patients should follow the cancellation or rescheduling instructions shown for the relevant booking.
  • Providers are responsible for maintaining accurate availability and promptly communicating material changes.
  • Any applicable cancellation fees, refund conditions and payment terms must be disclosed before the relevant transaction.

We may facilitate the transfer or synchronisation of appointment information between the website and provider software. Synchronisation may be delayed or fail because of connectivity issues, third-party systems, incorrect information or other technical limitations. Users should check the confirmation provided by the relevant system or healthcare provider when necessary.

6. Healthcare Providers and Medical Responsibility

Unless expressly stated otherwise in a separate agreement, doctors, clinics, hospitals and other healthcare providers deliver healthcare services independently. They are responsible for their clinical decisions, diagnoses, treatment, prescriptions, professional conduct, licences, regulatory obligations and patient care.

Providers must supply truthful profile information, maintain the registrations and licences required in their jurisdiction, keep their schedules and fees accurate, and promptly notify us of material changes affecting their eligibility to offer services.

We may request supporting documents and may review, verify, suspend or remove provider listings. A listing or verification check does not constitute a guarantee of clinical quality, outcomes, availability or suitability for a particular patient.

7. No Emergency or Substitute Medical Service

The website and administrative software are not a substitute for emergency medical services, an in-person assessment, professional medical judgement or treatment by a qualified healthcare professional.

If you may be experiencing a medical emergency, contact your local emergency number or go to the nearest emergency department. Do not rely on appointment booking, messaging, website availability or software notifications for urgent care.

8. HMS, EMR and Software Services

Where we provide healthcare management software, the customer organisation is responsible for using it lawfully and configuring it appropriately for its operations. Features may include appointments, patient registration, records, billing, reports, prescriptions, diagnostics and other workflows, depending on the subscribed service.

  • Customers must use role-based access and appropriate staff permissions.
  • Customers must ensure that information entered into the software is accurate and that required clinical review occurs.
  • Customers must maintain any records, notices, consents and authorisations required for their activities.
  • Customers must not use the software to unlawfully access, disclose, alter, sell or misuse personal or health information.
  • Customers must promptly report suspected security incidents affecting their accounts or data.

Software features, storage limits, support, implementation, subscription periods, service levels, data export and additional fees may be governed by a separate service agreement or order. No feature or service level is guaranteed unless it is expressly agreed in writing.

9. Patient Records and Health Information

Patient records may contain sensitive personal information. Their handling must comply with applicable privacy, healthcare, confidentiality, record-retention and security requirements.

Depending on the service and applicable law, the healthcare provider or customer organisation may determine why and how patient information is processed, while DMC may process that information to provide, maintain, secure and support its services. The parties' actual legal roles must be established for each relevant processing activity and documented where required.

We do not claim ownership of a patient's medical history merely because it is stored or processed through our software. Rights in records, software, data and other materials depend on applicable law and the relevant agreements.

Customers must not upload or disclose health information unless they have the necessary legal basis, authority and permissions. Where required, separate data-processing, confidentiality, patient-consent or business-associate agreements must be completed before processing begins.

10. Privacy, Cookies and Communications

Our collection and use of personal information must be explained in a separate Privacy Policy and, where relevant, a Cookie Policy and service-specific privacy notice. These documents should identify applicable purposes, legal bases, categories of information, recipients, retention periods, international transfers, individual rights and contact procedures as required by law.

Appointment confirmations, service notices, security alerts and essential account communications may be sent where permitted by law. Marketing communications must follow applicable consent, opt-out and electronic-communications requirements.

These Terms do not replace a privacy notice or create permission to process personal or health information where the law requires another legal basis or consent.

11. Data Security, Retention and Incidents

We will apply security measures appropriate to our services and applicable obligations. No website, network, software system or data transmission can be guaranteed to be completely secure or uninterrupted.

Data retention, deletion, backup restoration, export and incident-response responsibilities must be determined by the applicable law and service agreement. Customers must maintain any independent records and backups required for their professional or legal obligations.

Suspected incidents must be reported and handled through appropriate procedures, including legally required notices to affected people or authorities where applicable.

12. Payments, Subscriptions, Taxes and Refunds

Fees, subscription charges, commissions, setup charges, taxes, renewal terms and payment deadlines will be disclosed in the applicable offer, checkout, invoice or separate agreement.

Payment transactions may be processed by third-party payment providers under their applicable terms. We do not control every aspect of a third-party payment service.

Refunds, cancellations, failed payments, chargebacks and subscription termination are governed by the terms disclosed for the relevant transaction, the applicable provider agreement and mandatory consumer-protection law. Nothing in these Terms removes a refund or cancellation right that cannot lawfully be excluded.

13. Acceptable Use

You must not:

  • Use the platform for fraud, unlawful activity or impersonation.
  • Submit false qualifications, licences, reviews or medical information.
  • Access accounts, patient records or systems without authority.
  • Introduce malware, disrupt services or attempt to bypass security controls.
  • Scrape, copy or commercially exploit platform content without permission or lawful authority.
  • Use the platform to harass, threaten, discriminate against or unlawfully harm another person.
  • Upload content that infringes intellectual-property, confidentiality, privacy or other legal rights.
  • Use software outputs as a substitute for required professional judgement or regulatory review.

14. User Content and Intellectual Property

You retain rights you lawfully hold in content you submit. You grant us only the permissions reasonably necessary to host, process, display, transmit and support that content for the relevant service and as otherwise permitted by law and the applicable agreement.

The platform, software, source code, design, branding, documentation and other materials owned or licensed by DMC are protected by applicable intellectual-property laws. Except where expressly permitted, you may not copy, modify, distribute, reverse engineer or commercially exploit them.

Nothing in this section transfers ownership of patient information to DMC or overrides applicable data-protection rights.

15. Third-Party Services and Integrations

The services may rely on third-party hosting, communication, payment, mapping, video consultation, identity verification, healthcare information exchange or other integrations. Their availability and terms may be outside our control.

Use of third-party services may be subject to additional terms and privacy notices. We will not exclude responsibility where applicable law makes us responsible for a third party's conduct.

16. Availability, Changes and Support

We may update, improve, suspend or discontinue features for maintenance, security, legal compliance or operational reasons. Where required, we will provide notice of material changes or interruptions.

We do not guarantee uninterrupted access, error-free operation, compatibility with every device or integration, or that every booking or data synchronisation will succeed. Any contractual service-level commitments apply where expressly agreed.

17. Disclaimers

To the extent permitted by applicable law, the platform and general information are provided on an "as available" basis. We do not guarantee that provider information, appointment availability, third-party content or software outputs will always be complete, accurate, uninterrupted or suitable for every purpose.

Nothing in these Terms excludes a warranty, duty or consumer right that applicable law does not permit us to exclude.

18. Limitation of Liability

To the maximum extent permitted by applicable law, DMC will not be liable for indirect or consequential loss, loss of profits, loss of opportunity or loss of goodwill arising from use of the services, where such exclusion is lawful.

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including any mandatory consumer rights or liability for matters that applicable law requires to remain enforceable.

Any monetary cap or further allocation of risk must be established in the applicable service agreement and reviewed for enforceability in the relevant jurisdiction. This section does not replace that review.

19. Indemnification

To the extent permitted by law, a business customer or other user may be responsible for third-party claims, losses or reasonable costs arising directly from that user's unlawful conduct, breach of these Terms, infringement of rights, or misuse of the services. This does not apply where the loss was caused by DMC's own conduct to the extent applicable law prevents such an allocation.

20. Suspension and Termination

We may restrict or terminate access where reasonably necessary because of a serious breach, suspected fraud, security risk, unlawful activity, non-payment or a legal requirement. Where appropriate and lawful, we will provide notice and an opportunity to address the issue.

Termination does not remove obligations that continue by their nature or under law, including payment obligations, confidentiality, lawful record retention and resolution of outstanding disputes.

For paid software services, data export, transition assistance, deletion and post-termination access must be addressed in the applicable service agreement and any mandatory law.

21. Complaints and Dispute Resolution

Users may contact us using the details below to raise complaints, report misuse, challenge account restrictions or request support. We will review complaints through appropriate procedures, subject to applicable legal duties.

Where a law requires a particular complaint process, regulator, ombudsman, consumer forum or dispute-resolution mechanism, that process remains available as required.

22. Governing Law and Mandatory Rights

The governing law and competent courts must be specified after confirming the legal entity operating DMC and its jurisdiction. Any chosen law or forum is subject to mandatory laws and consumer protections that apply to the particular user or transaction.

These Terms are not intended to deprive consumers of non-waivable rights in their country of residence or to prevent access to a court or regulator where the law requires that access.

23. International Use and Regulatory Compliance

The services may be accessed from different countries. Applicable rules may differ based on the user's location, the location of a healthcare provider, the type of service, the data processed and the role DMC performs.

Where applicable, additional measures or agreements may be required for privacy and health information, international data transfers, electronic communications, online-platform obligations, consumer rights, professional licensing, healthcare records, medical software or digital payments.

Access to the platform does not mean that every service is available or legally authorised in every country. Users and providers must comply with the laws applicable to their activities.

24. Changes to These Terms

We may update these Terms as our services, business arrangements or legal obligations change. We will provide notice of material changes where required. The revised Terms will state their effective date. Continued use after a change takes effect is subject to applicable law and any required consent or acceptance process.

25. General Provisions

If a provision is found unenforceable, the remaining provisions will continue to apply to the extent lawful. A failure to enforce a provision is not a waiver of that provision. You may not transfer your rights or obligations without required consent. We may transfer our rights and obligations as part of a lawful business reorganisation, subject to applicable law.

These Terms and any applicable written service agreement constitute the relevant agreement concerning their subject matter, without overriding mandatory statutory rights.
